How to Share Corporate Event Photos: An Organizer's Checklist
To share corporate event photos without chasing files across several chats, set up one collection point and assign someone to review the contributions. With AlbumDrive, the organizer connects Google Drive and attendees choose photos to upload through a link or QR code, in their browser, without an app or account.
Collecting photos, opening a gallery, approving content and displaying it on a screen are different decisions. Use this checklist before a conference, team day or company party to plan each part.
Before the event: decide where the photos will go
Choose the host and the Google Drive account they will connect. Confirm that the intended use fits your organization's policies and check the available storage. Do not assume that a work account allows the same connections or external sharing as a personal account.
Set the event name, start date and time. The upload window runs from that configured start. Then agree on three practical points:
- Suitable content: for example, networking and team activities, but not screens showing internal information or client documents.
- Review responsibility: assign a team member and a backup. These are responsibilities in your event plan, not additional enterprise roles automatically created by AlbumDrive.
- Intended audience: distinguish a keepsake for attendees from a selection for external communications. Have your organization confirm its photography and publication policies; using an album does not settle them for you.
A planning example, not a customer case: at a team day, reception introduces the QR while communications reviews contributions before preparing a selection. A live screen is not necessary for this collection workflow.
Check gallery visibility and Drive permissions separately
Share the guest access link, not the event management link. Do not hand out the host's credentials to make collaboration easier.
Check what attendees can see in the gallery and review any Drive folder or file links independently. Hiding a gallery or enabling a PIN does not revoke Drive permissions already granted. Connecting an account does not automatically make the event an employee-only space.
Use a phone without the host session to check access. During the upload window, choose a test photo and confirm its receipt and its presence in Drive. For copying the correct address and troubleshooting, use the guest photo upload link guide.
During the event: make participation clear and voluntary
Include the link in attendee communications and place the QR at reception or beside a suitable activity. Add a short instruction explaining what to do and when uploads close, rather than displaying an unexplained code.
Adapt this message by replacing EVENT_LINK and providing the agreed deadline and intended use:
Share your photos from today's event at EVENT_LINK. Choose the images you'd like to contribute and upload them in your browser; no app or account needed. Please avoid internal information or material that should not be shared. Check your invitation for the upload deadline and how the photos will be used.
Only files attendees select and upload are collected. AlbumDrive does not automatically capture what people photograph. One reminder near the end may be more useful than repeatedly interrupting activities.
If you want a photo screen, plan it separately
Projection requires Premium. Test the display equipment, internet connection and visibility from the audience's position. If content needs checking before it appears, configure and test prior approval, also a Premium feature, and assign someone to handle it.
Do not promise a fixed delay between upload and display: connectivity, upload time and review all matter. The live photo projection guide covers technical preparation. If you only need to collect and distribute photos, you do not need a screen.
Afterwards: select photos and check the recipients
Send any final upload reminder while the upload window is still open. Review the material and prepare your selection in a separate folder rather than moving or deleting event originals without checking the consequences. Confirm the recipients and permissions before sharing that selection.
Keep an independent backup of important photos. Closing uploads does not itself delete files stored in Drive, but gallery availability also depends on event settings and the Drive connection. A gallery link is not a replacement for your working archive.
Reusable organizer checklist
Copy this table into your coordination document, assign people and update the status as each check is completed.
| When | Task | Owner | Status |
|---|---|---|---|
| Before | Confirm Drive account, policies and storage | Assign | Pending |
| Before | Check start time, upload window and visibility | Assign | Pending |
| Before | Test access and an upload within the window | Assign | Pending |
| Before | Prepare message and QR; test screen if needed | Assign | Pending |
| During | Introduce the album and handle agreed review | Assign | Pending |
| Closing | Remind attendees while uploads remain open | Assign | Pending |
| After | Check selection, recipients, permissions and backup | Assign | Pending |
Choose a plan for the workflow you need
Free supports up to 30 photos over 3 days. Plus and Premium offer 30 days of uploads and short videos when the host enables them, up to 30 seconds and 100 MB per video. Plus includes post-upload moderation; prior approval and projection require Premium. Album capacity and available Google Drive storage still limit uploads.
